Introduction

We know it is tempting to skip these Terms of Service, but it is important to establish what you can expect from us and what we expect from you.

Reservation/ Booking Hire Payment

A quoted price from Endless Summer Tours is valid for 14 days. The price to be paid for the journey will include the times, location, route and any other details of the journey and will be stipulated on the reservation/ booking confirmation. Once agreed any requests to modify any of these details should be made to us at least a week in advance of the date of travel/hire and we will endeavour to accommodate minor changes to the customer’s requirement, subject to our ability to do so. All bookings will be allowed one (1) amendment, by an amendment we mean change of time or location. A change of date will be deemed a cancellation and the applicable fees will be charged as outlined below. Any further changes will result in a $50.00 amendment fee. Please ensure all details are correct before signing and returning the booking confirmation.

All reservations must be confirmed by payment with a 50% deposit of the total tariff, at the time of making the booking with the 50% balance paid in full 30 days prior to booking date. From the time a hire booking is made, your payment of the quoted amount confirms you agree to our Terms & Conditions and Cancellation Policy, after which time the terms and conditions of the policy will be deemed to be in effect. Reservations/ hire bookings are not confirmed until cleared receipt of the 50% deposit. Payments can be made by direct deposit to Endless Summer Tours.

Please use your surname as the narration. If paying by direct deposit settlement of the agreed price in advance by electronic transfer must allow adequate time for funds to be cleared before the date of travel, especially in instances of last-minute bookings. All bookings regardless of payment method require credit card details at point of sale; and by giving us your credit card information you are giving permission for this to be used for any additional charges, or any damage caused the vehicle, including soiling as stated at the levels below. 

Additional Charges

Overtime

The hire agreement between us includes specified pick up and return times and/or duration of hire. Adhering to these times forms an integral part of our operation. Where these times are not adhered to, we may incur additional cost or risk disappointing other customers. For that reason, we reserve the right to levy additional charges should the times agreed between us not be adhered to by the customer. The overtime rate that will be charged is as specified $200 per hour fee.

Damages

We reserve the right to charge the customer a minimum of $500 for any damage to or soiling of our vehicles or any of its equipment caused by you or members of your party. Payment of the minimum damage charge must be settled before the end of the hire. We do not accept cheques. In the event that payment of damage-related charges cannot be made on the day of hire, the customer agrees that the amounts will be charged to the credit or debit card with which the booking was paid. Where the cost of rectification or repair may, in the view of the driver, exceed $500, the minimum charge will be made by the method described above and a further amount invoiced to the customer to reflect the cost of restoring the vehicle to its previous condition.

Food & Alcohol
Food and alcohol are not permitted under any circumstances in any of our cars. A cleaning charge of $250.00 will apply.

Smoking
Should this condition be ignored the drivers are instructed to terminate the charter immediately, without refund if a member of your party smokes or vapes in the vehicles.

Photographs

Photography featuring the Woodie is permitted and the driver will assist to position the vehicle as requested by the photographer. The driver has the final decision on how the vehicle can or will be placed at a location. Photographs featuring the vehicle and event may be taken by the driver for promotion use by Endless Summer Tours. Copyright for these images belongs to Endless Summer Tours and they are available free of charge to the person responsible for the hire. 

Lost Property

Unfortunately, we are unable to take responsibility for the loss of property left in the vehicle at any time or under any circumstances. In the event that property is left within our vehicles and is located we will endeavour to return the item at our earliest opportunity (charges may apply). 

Vehicle Supplied

We operate two (2) well maintained vehicles - a 1948 Ford Woodie Super Deluxe Station wagon and Toyota Hiace 12 seat commuter vehicle. We will endeavour to provide the vehicle requested by you but in the unlikely event that we are unable to do so, we reserve the right to provide a suitable replacement. Should we not be able to supply an alternate vehicle a full refund will be provided. (Changes to your hire vehicle will be discussed with the patron prior to cancellation). 

Breakdown

In the unlikely event of a breakdown or the vehicle(s) being rendered unserviceable (for example, in the event of collision), we will use our best endeavour to provide a back-up vehicle or vehicles as quickly as possible. However, we cannot be held liable for any consequential loss incurred as a result of vehicle breakdown or similar unavailability. We will give a full refund if the booking cannot proceed on the booking date. Any booking that has already started its charter/tour will be refunded pro rata to the hourly rate of the balance remaining.

Severe Weather Cancellations

Endless Summer Tours reserves the right to cancel or replace our vehicle with a suitable alternative. Please note, this is a very rare circumstance and whilst our vehicles are extremely well maintained, we will not put the safety of our staff and customers in jeopardy. In such cases we will prioritize discussing options with the hirer, provide an alternative or a full refund should it be required. 

Grace Period

We always strive to arrive at pick-up points in advance of the times agreed. Very occasionally, events outside our control (for example, traffic congestion or bad weather) cause us to be late. In these circumstances, provided we arrive within 30 minutes of the scheduled time, this will be deemed to be within the terms of the agreement, in such cases, and if reasonably practical, we will endeavour to adjust the agreed booking times to make up for the delay, for example by adding a similar time at the end of the booking period.

Privacy

Endless Summer Tours respects the privacy of clients and employees. Please note that that personal information submitted to and/or obtained by Endless Summer Tours will only be used for the purpose of conducting our business and associated on-line marketing. This will at times involve the distribution of some details to various staff and contractors as is necessitated to manage and supply your services. Your personal information will not knowingly be passed on to a third party outside of these operating guidelines.

Cancellation Policy

Endless Summer Tours is a small business therefore cancellation fees are necessary to compensate the provider for the holding of a reservation in good faith, and the consequent refusal of subsequent hire booking requests. Our charges in the event of cancellations reflect our assessment of the likelihood of being able to re-hire the car following a cancellation. All cancellations are required to be made to us in writing. We will not accept a verbal cancellation. Please read the following carefully. You must not make any booking unless you understand and agree with the following terms and conditions. These terms and conditions apply to bookings you make with Endless Summer Tours over the telephone or by email, as well as online bookings you make on our website. From the time a booking is made, your payment of the quoted amount confirms you agree to our Cancellation Policy after which time the terms and conditions of this policy will be deemed to be in effect. This Cancellation Policy is equitably applied in fairness to all, irrespective of the nature or the cause of the cancellation.

Cancellation Fees

1948 Ford Woodie

The following cancellation fees apply to bookings inclusive of all hire including but not limited to tours, weddings, point-to-point transfers, special occasions/events, wine tours, corporate, business, film, photoshoots and commercial:

- If the booking is cancelled more than 30 days prior to the commencement of the hire date the cancellation fee is 50% of the total tariff.

- If the booking is cancelled 30 days or less prior to the commencement of the hire date, the cancellation fee is 100% of the total tariff.

- If the hire date is required to be changed an additional admin charge of $100 applies.

Endless Summer Tours reserves the right to amend, vary or cancel any hire booking. If your hire booking is cancelled due to the below it is a condition of your booking that you understand that no refund will be offered. We reserve the right to cancel your hire if any of the following occurs:

- Disrespect to any staff member or affiliate of Endless Summer Tours,

- Evidence of illicit drugs prior or during your hire,
- Intoxication, 
- Violence,
- Physical aggression and/ or abusive behaviour,
- Damage to or soiling of the vehicles or any of its equipment caused by you or members of your party,
- Smoking/vaping in vehicles,
- Failed payment.

Wine Tours/Transfers/Commuter Hire

Group tour bookings cancelled outside of 72 hours prior to the tour will incur a 10% administration/merchant fee. Group tour bookings cancelled within 72 hours of the tour departing, and ‘no shows’ will be charged a 100% cancellation fee. Private Charters require a $350 non-refundable deposit to secure the vehicle. Payment is required to be made via Visa or MasterCard. Private Charters cancelled within seven (7) days of the tour will be charged the full quoted price of the service, excluding lunch and tasting fee costs.

All Vehicles


- Late arrival, no-shows and early departures are deemed cancellations within this policy and will initiate liability for the full amount of the tariff. No-shows take effect 30 minutes after specified pick up and return times.

- Insurance is strongly recommended for both medical and cancellation coverage.

- Endless Summer Tours reserves the right to amend, vary or cancel any hire booking.

Cancellations for Cruise Ships

Cruise ship bookings are non-refundable. It is recommended that all customers ensure that their travel insurance has “Pre-paid Shore Excursion Cancellation cover.

Processing Refunds

Any applicable refunds will be processed by the same method of payment.

Responsible Consumption and Service of Alcohol

Tour guests who are tasting alcohol must be 18+ years of age and should not drink alcohol 8 hours prior to tour. Tour drivers and Cellar Door staff are RSA (Responsible Service of Alcohol) certified and keep a constant eye out for the safety and well-being of all passengers at all times. Passengers that endanger or disrupt this priority, will be warned and if necessary, immediately removed from the tour. The wineries we visit are small boutique family run wineries where we are their guests and need to respect them by behaving accordingly. A good reputation among Cellar Doors for a safe and enjoyable experience, is a top priority for Endless Summer Tours. Consuming alcohol is not permitted on or beside vehicles. ​Endless Summer Tours vehicles are charter licenced vehicles. Just like any other public transport vehicle, heavy fines apply for drinking on or beside the bus, to both passengers and drivers! All wineries and breweries have a ‘Producer Only License’ which means that only alcohol that can be consumed on the premises has to be made from that premises. Strict RSA laws combined with public liability issues, mean that alcohol can only be consumed in specific designated areas at each premises. ​​

Minimum Passenger Numbers

We require at least four (4) passengers to operate our tours, or eight (8) passengers on public holidays. Whilst your tour booking is confirmed at the time of payment, please be aware that if, in the extremely rare circumstance, we do not achieve our minimum passenger numbers, your tour may be cancelled. We will give you as much notice as possible and rest assured, we will do what we can to ensure you do not go home without a taste of the Margaret River region.​​

Passenger Safety

Passengers are fully responsible for their own safety during their tour or charter and Endless Summer Tours and the venues that you visit on tour, are not liable for any irritations or other medical conditions that you may experience from wine or other food and beverages that you consume during or after the tour. 

Dietary Requirements

It remains the sole responsibility of the customer to directly confirm with the venue staff that the contents of any food and drink offered is safe for the customer to consume on the day of the tour. Endless Summer Tours will relay any requests and dietary requirements in advance. 

Please note: WHILST EVERY EFFORT IS MADE TO PREVENT CROSS-CONTAMINATION WITHIN THE RESTAURANT KITCHENS, NO RESTAURANTS THAT WE VISIT ON OUR TOURS CAN 100% GUARANTEE THAT THEIR MEALS ARE 100% ALLERGEN-FREE DUE TO MEALS BEING PREPARED IN THE SAME KITCHENS, AND COOKED IN THE SAME OVENS.

Credit Card Security

Endless Summer Tours may request credit card details to be retained as security for a booking if part of the group is paying cash on the day. By providing credit card details as security, you acknowledge that you are taking responsibility for the full number of seats/vehicles booked, and if full payment of any outstanding amounts is not provided to the driver on the day of the tour by the passengers associated with the booking, then Endless Summer Tours reserves the right to charge the credit card the full outstanding amount owing, including any cancellation fees as stipulated in our cancellation policy above.​

Additional Requirements

We recommend smart casual attire. Most wineries do not accept groups in dress-up costumes or outfits, and as such, neither can we.

FAQS

Is the Ford Woodie the only vehicle you offer?

We have two vehicles on offer. The Ford Woodie is our signature vehicle and can be used for all special occasions. When covering large distances and groups or multiple wineries/breweries, we assist with our second vehicle which is 10 seat Toyota Hiace Commuter.

Are there any limitations to my experience?

Yes, there might be some limitations depending on the specific location (Accessibility & Logistics). We're always open to exploring new options! If you have a dream destination in mind, don't hesitate to contact us.

What are your rates for wedding transportation?

Our rates vary depending on the duration of service and location. Please contact us for a personalised quote!

How far in advance should I book my ride with Endless Summer Tours?

We recommend booking as early as possible, especially during wedding and summer seasons. However, feel free to reach out to us with your desired date and we'll check availability.

Do you offer packages for multiple events (e.g., wedding ceremony & reception)?

Absolutely! We can create a custom package to suit your specific needs and ensure seamless transportation throughout your special day.

How many passengers can fit comfortably in the Woodie?

Our Woodie comfortably seats 5 passengers.

Do you offer transportation to locations outside Busselton?

We happily service the greater Margaret River region, including Busselton, Dunsborough, Yallingup and Capel. Additional fees may apply depending on the distance.

What happens if there's bad weather on my event day?

We understand that weather can be unpredictable. We'll work with you to create a backup plan,  which may involve adjusting the itinerary or providing alternative transportation options if necessary. Please read our Terms and Conditions.

Is the Woodie suitable for a winery tour or brewery tour/experience?

The Woodie is tailored for those special events such as weddings, honeymoon trips, photoshoots, proposals etc. Its maximum capacity is 5 people (driver included). Our tours are primarily conducted in our second vehicle which is the 10 seat Toyota commuter, but don’t hesitate to enquire about options for the Woodie experience.

Can I bring my dog or any pet?

We understand how much your furry friend means to you, but unfortunately, we cannot accommodate pets in our vehicles.

Do you facilitate a Hens or Bucks night?

Unfortunately not, whilst everyone loves a good party there are several local companies who may assist this request. Read terms and conditions for further clarification.
